An HRIS is your record system, not automatically payroll

An HRIS holds the employee record: people, jobs, managers, documents and time off. Payroll is a related module that many vendors sell alongside it, and on several price lists it is a separate line you add.

Write down what must live in the system on day one and what can follow. A useful starting brief is records, reporting lines and time off. Move payroll or hiring earlier if those are your immediate needs.

Price the plan you would actually buy

Published starting points describe a plan, not your final bill. BambooHR lists Core from $10 per employee per month above 25 employees, and a flat monthly price starting at $250 for 25 employees or fewer, with upgrades and add-ons quoted.

A 20-person team sits in that flat band, so per-employee math does not apply there. Rippling and Paylocity both quote, so ask each vendor for one written figure covering the platform, the modules you named and implementation.

Walk one fictional week through every demo

Invent a scenario and reuse it with each vendor. Ours is a made-up 20-person company: a manager changes mid-quarter, someone requests PTO the same week, and the resulting record has to reach whoever runs payroll.

Ask the demo team to click that path live: who approves the PTO once the manager changed, where the new reporting line is recorded, and what payroll receives at the end.

Ask what the AI assistant reads

Vendors now ship assistants inside the HR record. BambooHR documents an AI assistant that answers questions about your HR data on Core, with policy and document questions covered on Pro. We have not tested either one.

Ask which records the assistant can read, whether it respects the permissions of the person asking, and what an employee sees when they ask about someone else's file.

Move records first, then switch modules on

Plan a staged rollout around your actual deadlines. Validate a sample import of people, jobs, managers and documents. Check permissions and the approval path with fictional data before moving live work into the system.

Agree the cutover and rollback with your current payroll owner. Confirm whether payroll will move into the same platform or remain with your provider, and test the supported integration or export before relying on it.
