A tool is only part of the answer.

People ask which AI tool HR should buy. The better question is where the work lives now. A general assistant, an assistant inside the software you already pay for, and a system built for recurring training solve different problems, and the differences matter more than the feature lists.

What this comparison tells you

This is a review of documented capabilities, not a scored product test. The three options serve different purposes. We have not benchmarked their outputs, speed or accuracy against each other.

3 approaches to explore

Claude

General AI assistant

Anthropic describes Claude as an assistant for drafting and synthesizing material. It is a candidate to explore when your immediate job is to turn an approved brief into a first draft.

Worth exploring for

An interview guide, an onboarding outline or a summary of supplied material.

Ask before you choose

Which plan and workspace are approved? Can you trace every claim back to the brief?

Microsoft 365 Copilot

AI in your existing workspace

Microsoft documents Copilot in apps including Word, Excel, Outlook and Teams. Consider this route when the work and the approved source documents already live in Microsoft 365.

Worth exploring for

A workflow centered on existing Microsoft 365 documents and collaboration.

Ask before you choose

Which licenses, permissions and app features does your organization actually have?

Trainual

Recurring training and knowledge

Trainual documents training and company knowledge, with AI features for creating and improving content. Consider a training system when maintaining material and delivering it repeatedly is the bigger job.

Worth exploring for

A recurring onboarding or training process with a maintained source of knowledge.

Ask before you choose

How are updates reviewed, assigned and tracked? Which features are available in the quoted plan?

Take the same brief into every demo.

A polished example on a product page cannot tell you how a tool will handle your work. Use a small fictional brief to make the conversation specific.

Your evaluation task

“A customer success coordinator joins a 40-person company next Monday. Build a first-week learning plan. The manager owns goals; IT owns access. Mark anything you need to ask us rather than filling in a missing policy.”

Look at what comes back.

  1. Source discipline. Does it distinguish supplied facts from assumptions?
  2. Useful structure. Can you find the action, owner, dependency and deadline?
  3. Review effort. Record what you needed to correct. Include that time in your comparison.
  4. Ongoing work. Can you update and reuse the result where your team works?

For a training system, also ask the vendor to demonstrate assignment, updates and tracking. For a drafting assistant, examine the draft itself. Avoid treating those as the same outcome.

Should every HR task use AI?

No. A clear checklist or a better handoff may solve the problem. Start with the task and the cost of checking the result, then decide whether an assistant adds value.

Why isn’t there a winner?

A drafting assistant and a training system are different purchases. We would need comparable, recorded tests to award a performance ranking. This guide helps you identify a route to evaluate.
