Who it fits

Connecteam is built for teams that work away from a desk: crews, shops, clinics and service routes where the phone is the main work tool. Employees clock in from mobile or desktop, record the job or project they worked on, and managers review the same day from the dashboard.

Sizing matters more than feature lists here. Teams of ten or fewer can qualify for the Small Business Plan at zero cost, while larger groups pick a hub and plan. Paid hub pricing is fixed for the first thirty users, with a published per user rate above that line.

The three hubs

Operations holds the time clock, job scheduler, forms and quick tasks. Communications covers chat, company updates, directory, surveys and the knowledge base. HR and Skills handles time off, courses, documents, recognition and onboarding. Each hub has its own Basic, Advanced and Expert tiers, so you can mix levels across the three.

Within Operations, the tier decides how much control you get. Basic includes payroll integration and basic scheduling. Advanced adds full time clock customization, timesheet approvals, up to ten geofence sites and repeating shift templates. Expert opens unlimited geofences, automatic shift assignment and API access for teams with more moving parts.

  • Other hubs can remain on Limited, subject to that plan’s 30-seat cap.
  • Extra users above thirty are billed per hub: Operations Basic at $0.80/month with annual billing or $1/month with monthly billing per user.
  • Communications and HR and Skills each bill extra users at their own rates, $0.50/month with annual billing or $0.60/month with monthly billing on Basic.

Payroll handoff

Connecteam produces approved timesheets and sends the hours out; it is not the payment processor. Direct integrations cover QuickBooks Online, Gusto, Xero, Paychex Flex, PrismHR, MYOB Business and several ADP products, and export templates exist for QuickBooks Desktop and ADP files. Your payroll provider still calculates and issues the pay.

The QuickBooks Online path transfers total hours and jobs. Paid time off does not transfer today, which is worth knowing before you design a process around it. The integration needs a QuickBooks Online account with payroll and the Track time feature, available on Essentials, Plus and Advanced, and matching payroll periods on both sides.

  • Admins can approve timesheets, lock individual days and close a pay period once it has been exported.
  • Approval and reopen permissions are assigned separately, and admins can be blocked from approving their own timesheets.
  • Re-exporting the same period overwrites the hours already in QuickBooks Online, so verify totals after each push.

Location data

Connecteam records a GPS stamp when someone clocks in and out, and shows those points on a map inside the timesheet. Geofencing, available from the Advanced tier with up to ten sites, keeps punches tied to an approved location. Expert removes that site limit for teams covering many addresses.

Breadcrumbs is the continuous option, and Connecteam states it records location only while a user is on the clock, with nothing documented or processed off the clock. Explain the chosen location settings to your team before enabling them, and check the required device permissions during the pilot.

  • The pricing matrix places Breadcrumbs on Expert, Enterprise and the eligible Small Business plan.

Rolling it out

Start with one time clock and one schedule, even if you plan to add branches later. Those are the limits of the Small Business Plan, and staying inside them keeps a team of ten on the free tier while everyone learns to punch, read shifts and submit a form.

Growth changes the arithmetic twice. Crossing ten users moves you to a paid hub or the free Limited tier, and crossing thirty adds a per user charge on each paid hub. Choosing the tier before you grow is easier than migrating settings later, since features like approvals and geofencing arrive at Advanced.

AI in your workflow

One practical use of an assistant sits outside the product: drafting the message before you post it. A supervisor can ask a general assistant to turn rough notes into a short shift update, then paste the approved text into a Connecteam announcement or a chat channel. The workflow is external, not a product feature.

An illustrative draft reads: Saturday crew, the Riverside site opens at 7am instead of 8am, bring the long ladder. A person edits it, confirms the facts and publishes. Keep that boundary for anything touching hours or pay, where a manager reviews the record in Connecteam and approves every correction.

  • Treat drafted text as a starting point; the person posting stays responsible for accuracy.
  • Connecteam lets admins require approval before an employee edit to a timesheet takes effect.
  • Any timesheet correction should end with a human approval, not an automatic one.

A fictional Monday shift, used to show the sequence rather than to report a test. An employee punched in at 8:00am and never punched out. The correction should end with a person approving the entry on the evidence available, inside the same payroll period, and reconciled against what you export.

How does employee time tracking work?

Employees clock in and out from the mobile app or a desktop, and can attach the job, project, equipment or mileage tied to that shift. Managers see the day live, edit timesheets when needed, and export for payroll. Paid and unpaid breaks are supported, and unpaid breaks can deduct automatically after set hours.

Yes. Admins with approval rights can lock individual days, approve a full payroll cycle, and close the period once it has been exported.
