Buddy Punch suits small and midsize US teams that need a focused way to record and review hours: shops, field crews, offices and clinics. Employees can punch from a browser or mobile app; Pro adds shared kiosk/PIN and QR options. Recorded hours feed the time card for review.

Plans start at $4.99 per user per month equivalent with annual billing plus a $19 monthly base fee, with monthly billing at $5.99. Administrators do not count as billed seats and cannot record their own time, so an owner who also works shifts needs a manager or employee account.

What changes with each plan?

Starter covers core time tracking and GPS at punches. Pro adds offline mode and scheduling. Advanced includes real-time GPS; Starter and Pro can add it for $2/user/month. Scheduling is $1/user/month on Starter and included in Pro and Advanced.

Break Compliance, advanced group-based Manager Permissions, and Onboarding / Offboarding / Tasks were marked “Coming Soon” on the pricing page when checked. They are not treated as available features in this guide.

Approvals and fixes

Timesheets build themselves from punches, and employees can submit them for approval at the end of a pay period. Administrators and managers then review and approve. Managers act on the employees assigned to them, which keeps a supervisor close to the hours they actually oversee.

If employee editing is enabled, the worker can add or edit a punch on their own card. Administrators can also add an entry for the employee. Configure the approval workflow so a manager reviews the correction before payroll, and confirm how the chosen settings handle edits after a card has already been approved.

  • Managers can approve, deny and bulk approve time cards for their assigned employees.
  • Employees can submit their own time card and view it, but cannot approve or delete punches.
  • Deleting a time card outright requires Buddy Punch support, which keeps the record intact.

Offline punching

Offline Mode is on the Pro plan and above, and an administrator turns it on for the account. Once enabled, the Time Entry screen keeps working without a connection: punch in and out, start and end a break, switch shifts, pick a location, department or position, or enter a specific time.

Two conditions matter. The employee must already be signed in before losing service, since signing in needs a connection, and signing out while offline discards time that has not synced. Closing the app is safe. On reconnect the app uploads everything and flags any punch that could not sync.

  • Offline punching works in the mobile app on the Time Entry screen; other screens need a connection.
  • A kiosk or QR punch works once offline, then needs the device back online.
  • After reconnecting, open the time card and check for punches Buddy Punch could not accept.

Location data

Basic GPS is on every plan and captures a location at punch in, punch out and job switches, nothing in between. It works from the app or the web, can be set to off, optional or required per employee, and shows on the dashboard, time cards and the mobile map view.

Real Time GPS records a continuous route while an employee is punched in, and stops when they punch out. It needs Basic GPS enabled first, the mobile app, and location sharing on the device. It is included on Advanced or available as a $2 per user add-on for Starter and Pro.

  • GPS data is view only inside Buddy Punch and cannot be exported, while time and attendance reports export to CSV, Excel or PDF.
  • If GPS is set to required and the device has no signal, the employee cannot punch.
  • Real Time GPS adds a GPS Activity Report that Basic GPS does not provide.

Payroll handoff

Hours can leave Buddy Punch two ways. The integrations directory lists payroll connections and export routes including QuickBooks Online and Desktop, Gusto, ADP Workforce Now, Paychex, Paycor, Paylocity, Rippling, Justworks and Workday. If your provider is not on the list, export the report you need as a spreadsheet, CSV or PDF.

The optional payroll add-on brings payment inside the product, at $49 base per month plus $8 per user on top of your time tracking plan. It covers integrated timesheets, direct deposit, automated payments, W-2s and 1099s, tax filings, employee self onboarding and payroll support.

  • QuickBooks sync can run on demand or automatically, and maps employees, locations and department codes.
  • Only administrators can enable payroll integrations or run payroll; managers and employees cannot.
  • Approve the period before you export, so the numbers you send match the ones you reviewed.

AI access

The pricing page lists MCP Access on Pro and above, alongside API access, with higher rate limits on Advanced. In practice that means an assistant can be connected to your account data. Confirm the authorization scope and what it can read with Buddy Punch before you connect anything.

Keep the boundary simple. An assistant reading a summary of open time cards is a convenience; changing a wage, approving hours or judging an employee is not something to delegate. Buddy Punch reserves pay rate edits and payroll runs for administrators, and a person should keep making those calls.

  • MCP Access appears on the Pro plan; verify what the connection is authorized to do before relying on it.
  • Adding or editing hourly pay rates is an administrator only permission.
  • Every timesheet correction still ends with a human approval.

Fictional workflow · no product trial

One missed punch. One clear correction.

A fictional Monday shift, used to show the sequence rather than to report a test. An employee punched in at 8:00am and never punched out. The correction should end with a person approving the entry on the evidence available, inside the same payroll period, and reconciled against what you export.

Delivery differs by connection: confirm whether yours uses a direct sync or an export file, which fields transfer, and who checks the receiving payroll totals. API access is a separate integration route, not a guarantee of compatibility.

What should a team test during the trial?

Use a sample pay period that fits within the 14-day trial. Test a missed punch and its correction, an offline punch if you are trialing Pro, a geofenced site, and the export or sync to your payroll provider.
