Example: 12 Core users
$87 per month on monthly billing, or $936 for a year at the annual rate ($78 monthly equivalent). Twelve users throughout, including managers; no add-ons or other charges. This is arithmetic, not a quote. An annual subscription paid in monthly installments still carries an annual commitment.
Who Deputy fits
Deputy publishes three plans: basic scheduling for a single location, a middle plan for growing multi location teams, and a top plan for more complex permission structures.
Use those descriptions as a starting point, then check actual features and permissions. Assign an owner for scheduling rules and review the setup before employees begin using it.

Offers and swaps are not the same thing
A shift offer is a one-way handoff: a colleague can accept it without manager approval, and the manager is notified. A swap exchanges two shifts and can require manager approval, depending on location settings.
Responsibility is the part to teach. The originally scheduled person stays responsible until someone accepts the shift, and until it is approved where approval applies. Posting a shift is not the same as being covered.
- Check the swap approval setting for each location.
- Tell staff an unclaimed offer is still their shift.
- Decide who checks unresolved coverage requests.
Availability, unavailability, and leave
Employees can mark themselves unavailable on a specific date. Deputy treats that as a preference, and a manager can override it when building the schedule.
Leave follows a separate request and approval route. Explain which process employees should use for a planned absence and where they can check its status.

Getting hours to payroll without surprises
Before exporting, check employee IDs, pay rates, pay codes and approvals against the receiving payroll system. Deputy documents both connected and file-based export routes.
A timesheet export transfers records; payroll processing is a separate step. In your demo, use a fictional corrected punch and reconcile the exported hours with a test payroll record.

What employees see, including location
Deputy says location is captured at shift start and end and at meal break start and end, rather than continuously. Explain that configuration in plain words before anyone installs the app.
Give staff a short explanation of capture settings and access permissions. Invite an employee to review their own schedule and timesheet during the pilot.
