Start with how you buy. Gusto publishes three plans: Simple at $49 per month plus $6 per person for single-state payroll, Plus at $80 plus $12 per person adding multi-state payroll and time tracking, and Premium at $180 plus $22 per person, which carries those capabilities alongside a dedicated advisor and priority support. Those figures were checked on September 19, 2026.
A published plan makes budgeting simple, and it also sets the shape of what you get. Rippling starts from the opposite end: pick the products you need, add the required core platform, and receive a quote. Neither approach is better in the abstract. Since Rippling does not publish a payroll price, the only way to know which costs less for you is a written quote set beside the plan that covers your list.

Payroll, time, and hourly coverage
Time tracking is where the two buying models differ most visibly. Gusto includes time tracking from the Plus plan, and Premium carries it too. Rippling sells Time and Attendance as its own product, with mobile, web, and physical clock-in, job costing, break and overtime alerts, and labor policies applied by work location. Buying it is what sends approved hours into the pay run for review.
For hourly teams, compare like for like. If you would buy Gusto Plus for time tracking, your Rippling comparison should include the time module rather than the payroll line alone. Ask both vendors how missed clock-outs and duplicate punches are surfaced before payroll closes, and how scheduling is handled, since Rippling lists Scheduling as a separate addition.

When IT automation changes the decision
This is the clearest difference between the two. Rippling documents identity and access management alongside HR: provisioning and deprovisioning driven by role changes, single sign-on, multi-factor policies, group management across connected apps, and device management for Macs and Windows, including encryption enforcement and remote lock or wipe. It also lists device shipping, storage, and retrieval.
That matters when the same person handles both onboarding paperwork and laptop setup. If IT is already covered by a tool you plan to keep, this weighs less, and Gusto alongside your existing stack and its own integrations may be the simpler arrangement. Ask who currently removes app access on someone's last day, and how long it takes. The answer usually settles this section quickly.

Switching checklist
A midyear move is normal for both. Rippling's pricing page says its team picks up payroll where your previous provider left off and imports year to date information so quarterly and annual filings remain accurate. Whichever way you go, the work to plan is the data handover: totals, registrations, and deduction setups have to arrive intact, and someone has to confirm that they did.
Rather than assume a given file format is supported, ask your current provider for its export schema and a sample export, then ask each candidate which fields import automatically and which need manual entry. Agree a cutover date with both providers, name the payroll owner who signs off reconciled totals, and keep the records you need under your own retention policy.

AI and assistant access
Gusto publishes an MCP offering that connects payroll and people data, along with actions, to compatible AI clients. Rippling documents an assistant working on live company data, with answers linked to source records, permissions inherited from each user, and explicit confirmation required for actions the assistant proposes. We have not tested either, so treat both as documented behavior to verify in your own tenant.
The practical question is governance, not capability. Decide which roles may ask an assistant about pay data, which may confirm actions, and how those actions are recorded. Ask both vendors, in writing, how permissions apply to assistant answers and where the source record behind an answer can be opened. Keep those answers with your quote.

Book both demos in the same week and use the same scenario. Benefits makes a good test case: Rippling sells benefits administration as its own module, describes open enrollment tracking with automated reminders, and supports your own broker, its in-house brokerage, or its PEO. Ask Gusto to walk the same steps on the plan you are pricing, then compare the fees each side quotes.
Keep it a demo, and say so in your notes. A guided walkthrough shows the intended path, not the edge cases you will meet in month three.
