## Comparison rules

1. Convert every recurring line to the same time period and currency, recording the rate and date. Keep amounts unresolved until the vendor confirms what is included.
2. Add gross salary, employer-side costs, benefits and provider fees only once. Employee tax withheld from gross salary is not an extra employer cost unless a separately agreed arrangement changes the calculation.
3. Keep setup and other one-time charges separate from the recurring total.
4. Keep deposits and pre-funding in a cash-flow schedule. A deposit is not assumed refundable: obtain the contractual terms. Pre-funding is not an extra copy of the salary and contributions it pays for.
5. Compare actual expenses against pre-funded amounts when reconciling; do not sum the full estimate and the full actual payroll again.
6. Record annual commitments, minimum seats, renewal, FX assumptions and conditional exit costs before comparing totals.

## Fictional arithmetic example (not a quote or country estimate)

Assume one month has 5,000 gross salary + 1,000 employer contributions + 300 benefits + 500 service fee = 6,800 recurring expense. All amounts use the same fictional currency and billing period.

Assume a 250 setup charge and a 6,000 deposit contractually refundable in this fictional example. An illustrative first funding requirement is 13,050 (6,800 + 250 + 6,000). The deposit is tracked separately from expense. If the full 6,800 has already been pre-funded, do not add another 6,800 just because it appears in the final payroll statement.

Twelve unchanged recurring months plus setup would be 81,850, excluding the deposit from expense and excluding all other unmodelled or contingent charges. Real payment dates, deposits and costs require your provider's written terms.

## First-payroll questions

- Who approves gross pay and variable inputs?
- What are the local payroll cut-off and funding deadlines?
- Who confirms receipt of funds, contract readiness and employee bank details?
- How does the employee reach support, and who owns a missed or incorrect payment?
- When does reconciliation arrive and how are credits applied?
